Property management automation

Maintenance requests, tenant emails, vendor invoices and owner reports multiply with every door you add. We automate the intake, routing and paperwork so your team can manage more units without matching headcount.

At a glance

  • Maintenance requests triaged and dispatched
  • Tenant inquiries answered or routed
  • Vendor invoices matched to work orders
  • Owner reports generated on schedule

Built around your property software

Property management platforms such as AppFolio, Buildium, Yardi and Rent Manager handle the core records, and many now include their own automation features. We use those wherever they do the job.

Where they fall short is the work that crosses systems: requests that arrive by email and text instead of the portal, vendors who invoice by PDF, owners who want reports in their own format, and teams that coordinate in Outlook and Teams. That is where we build.

What we automate

  • Maintenance intake and triage

Requests from every channel classified by urgency and trade, with emergencies escalated immediately.

  • Vendor dispatch

Work orders sent to the right vendor, with scheduling and completion tracked.

  • Tenant inquiries

Common questions answered from lease and account data; the rest routed. See inbox automation.

  • Vendor invoice processing

Invoices matched to work orders and approved within limits. See invoice automation.

  • Lease abstraction

Key dates, rents and clauses extracted from lease documents into a register.

  • Owner reporting

Monthly owner statements and commentary prepared automatically.

A typical first project for a property manager

  1. Measure request volume

Requests by channel, type and urgency, and how long each takes to dispatch.

    Week 1
  2. Agree triage rules

Emergencies, trades, approval limits and after-hours handling.

    Week 2
  3. Build intake and dispatch

Requests from every channel classified, entered and sent to the right vendor.

    Weeks 3–6
  4. Pilot on a portfolio

One portfolio first, then the rest.

    Weeks 6–8

An example property management finding

Requests outside the portal create most of the manual work.

What we found
Coordinators re-enter requests from several channels, and urgent requests sometimes wait in an inbox overnight.
Fix
Every channel feeds one intake, classified by urgency and trade, with emergencies escalated to the on-call contact immediately.
Measure
Time from request to dispatch, and emergencies escalated within minutes.

  • A property management platform in placeAppFolio, Buildium, Yardi, Rent Manager or similar.
  • Vendors that invoice by PDFInvoices keyed and matched to work orders by hand.

Common questions

Will tenants be talking to a bot?

Only for routine questions you approve, such as office hours or how to submit a request. Anything involving a dispute, a payment or an emergency goes to a person.

Do you integrate with AppFolio, Buildium or Yardi?

We integrate wherever the platform's API, reports or import tools allow. Access varies by platform and plan, so we confirm what is possible with yours during the assessment.

Can vendor invoices be approved automatically?

Within limits you set. Invoices that match a completed work order and fall within the approved amount can be approved automatically; anything else goes to a person.
